About the Role
We are recruiting on behalf of a leading organisation within the electronic security industry for an experienced Service Coordinator to join their Edinburgh office.
This is a fantastic opportunity for an organised and proactive administrator who enjoys working in a fast-paced environment. You'll play a key role in coordinating engineers, managing customer service requests, supporting service operations, and ensuring the smooth delivery of maintenance and support services.
Working closely with the Service Administration Supervisor and Service Manager, you'll be part of a collaborative team where your organisational skills and attention to detail will make a real impact.
Key Responsibilities
As Service Coordinator, your responsibilities will include:
- Managing customer service requests and logging call-outs within the service management system.
- Coordinating engineer attendance and ensuring all service calls are completed and accurately recorded.
- Arranging remedial works, follow-up visits and equipment requirements.
- Ensuring customers receive service reports following engineer visits.
- Producing regular service reports and management information using Excel and PowerPoint.
- Supporting the management of service contracts and maintaining accurate contract records.
- Monitoring compliance reports and industry regulations.
- Assisting with invoicing, renewals and payment monitoring.
- Coordinating engineer vehicle stock and equipment requirements.
- Supporting weekly planning meetings with installation teams.
- Booking and coordinating engineer training and maintaining training records.
- Managing engineer call-out rotas, holiday cover and escalation procedures.
- Coordinating service quotations and tracking their progress.
- Ensuring compliance with GDPR and company information security procedures.
About You
We're looking for someone who is highly organised, customer-focused and able to manage multiple priorities.
You'll ideally have:
- Previous experience in an Administration or Service Coordination role.
- Experience within an engineering, facilities management, construction or technical environment would be advantageous.
- Scheduling or planning experience is highly desirable.
- Excellent organisational and time management skills.
- Strong communication skills with the ability to build relationships with customers and engineers.
- The ability to work independently as well as part of a busy team.
- Good IT skills, including Microsoft Office (particularly Excel) and experience using CRM or service management systems.
- Excellent attention to detail and a proactive approach to problem-solving.
